ARVONIA DAY EXCURSIONS – TERMS & CONDITIONS

 

PAYMENT, PRICING & BOOKING CONFIRMATION

Full payment is required at the time of booking. We accept payments by cash, debit card, credit card or Arvonia gift voucher. Once payment has been received, a booking confirmation will be issued.

 

Customers will find our current pricing displayed on our website, which includes a 10% online booking discount already reflected in the shown price. All prices shown in our printed day excursion leaflets and newspaper adverts are based on the full price of the trip and do not include the online booking discount. Customers booking over the phone or in person at our office will pay the full price as stated in our printed materials.

 

Please note that prices may be subject to change, and the final price will be confirmed at the time of booking by our reservations team. The price applicable at the time of booking is the confirmed price. Once your booking has been confirmed and a confirmation has been issued, the price you have paid is guaranteed and will not be subject to any further increase.

 

TRANSFERS & AMENDMENTS

We regret that transfers between departures and different excursions are not available. If you are unable to travel for any reason, you may cancel (in line with the cancellation terms below) and rebook onto your preferred alternative departure, subject to availability.

 

Please note that if you cancel and then rebook for a different departure date, the price applicable at the time of your new booking will apply. Prices are not transferable between departures, even if they are for the same destination.

 

A change of name within an existing reservation, applying to one or more passengers in the reservation is permitted up to 24 hours before departure, subject to office opening hours.

 

CANCELLATIONS BY YOU

All cancellation requests must be made by the lead passenger named on the booking confirmation.

 

Coach Only Excursions

For cancellations made 8 days or more before departure we can offer a refund minus a £4.00 administration fee. No refunds can be offered for cancellations made less than 7 days before departure

 

Coach & Inclusive Ticket/Admission Excursions

Unfortunately, no refunds can be offered for excursions that include admission, theatre, or concert tickets. However, if you cancel your booking and we are able to resell the associated ticket, we can offer a refund minus a 10% administration fee based on the total booking price.

 

Please note the following:

· Tickets can only be considered for resale or release once the booking has been officially cancelled.

· The ability to resell or release a ticket is subject to timing, availability, and overall demand.

· If we are successful in reselling or releasing your ticket, a refund, less a 10% administration fee will be processed to the original payment method within 7 days.

 

CANCELLATIONS BY US

We reserve the right to cancel any Day Excursion due to Insufficient bookings, cancellation of an event or closure of an attraction or any unforeseen circumstances beyond our control (see "Force Majeure" below)

 

In cases of cancellation due to low numbers, we will notify you at least 3 days before departure and offer a full refund. Refunds will be processed to the original payment method within 7 days.

 

Please note that Arvonia cannot accept liability for any loss, damage, delay, injury, or inconvenience arising from the alteration or cancellation of any Day Excursion.

 

SEAT ALLOCATION & COACH SPECIFICATION

Seats are allocated on a first-come, first-served basis at the time of booking. We reserve the right to amend seating arrangements or allocate different vehicles if operational requirements demand. We will endeavour to honour original seat allocations where possible.

 

We also reserve the right to substitute the advertised coach with a vehicle of similar or higher standard. No compensation will be offered in the event of a vehicle change.

 

CHILD PRICING

If child prices are available for a particular excursion, the applicable price and age limit will be clearly displayed on our website during the online booking process and in our printed sales material. If no child fare is advertised, all seats will be charged at the standard adult rate.

 

All children, regardless of age, must have their own seat on the coach and are not permitted to travel on the lap of an adult. If a child requires the use of a car seat or booster seat, it is the responsibility of the accompanying passenger to provide this. Please note that some coaches may only be fitted with lap belts.

 

CHANGES TO ATTRACTIONS OR EVENTS

Cast listings, performance schedules, and advertised features at attractions are subject to change without notice. No refunds will be given for alterations to cast, programme, or advertised elements unless a refund is authorised by the event organiser.

 

While we make every effort to provide accurate information about the attractions and events included in our excursions, we cannot guarantee that all advertised features, facilities, or sections of a venue will be open or operating on the day of your visit. Changes or partial closures may occur due to operational reasons, maintenance, or weather conditions.

 

We regret that no refunds or compensation can be offered in such circumstances unless agreed by the venue or organiser.

 

PASSENGER RESPONSIBILITIES

 

Missed Departure / Return

It is your responsibility to be at the designated departure points at the correct time. Coaches will not wait for late passengers. No refund or compensation will be offered for missed departures. Any additional costs incurred will be the responsibility of the passenger.

 

Passenger Conduct

We reserve the right to refuse a booking or terminate a passenger’s travel in the event of unreasonable conduct, including but not limited to being under the influence of alcohol, disruptive behaviour, or failure to return to the coach at instructed times. In such cases, no refund will be provided, and we will not be responsible for any onward travel arrangements.

 

Lost Property

Please take care of your personal belongings while travelling. Arvonia cannot accept responsibility for any items that are lost or stolen during your excursion. Any items found on board the coach will be returned to our office and kept for up to 14 days. Perishable items will be disposed of immediately. If you are unable to collect your lost property in person, we can arrange return by post, subject to a postage and handling charge.

 

MOBILITY EQUIPMENT

We can carry a limited number of folding walking aids, wheelchairs or mobility scooters, all of which must be pre-booked. These must be easily dismantled into parts weighing no more than 20kg and stored in the luggage area. Passengers must travel with a companion able to assist.

 

FORCE MAJEURE

We aim to operate excursions in all weather conditions unless it is deemed unsafe to do so. In the event of extreme weather or other unforeseen circumstances, cancellation, curtailment, or significant alterations may occur. Any refund offered will be at our discretion and assessed on a case-by-case basis.

 

We cannot accept responsibility for cancellations, delays, or changes resulting from events beyond our control. These may include, but are not limited to:

 

· Severe weather conditions

· Strikes or industrial action

· Government-imposed restrictions or actions by public authorities

· Natural disasters, pandemics, or major health incidents

· Any other extraordinary or unavoidable circumstance considered a force majeure

 

In such circumstances, some advertised features of an excursion may be unavailable, substituted, or modified without notice. While we will always do our best to minimise disruption, no compensation will be offered for changes beyond our control. Where possible, we will provide suitable alternative arrangements or, if appropriate, offer a refund in line with our cancellation terms.
